Facilities and Financial Data Alignment Initiative
The Facilities and Financial Data Alignment Initiative establishes a unified information structure across our Space (IBM Tririga) and Financial (Oracle Financial Cloud - OFC) systems, utilizing the OFC hierarchy to organize campus space as a resource. This alignment supports daily operations and enhances long-term planning for resource allocation by:
- Integrating space, research, employee work location and financial data for deeper analysis
- Enhancing campus activity hub reporting accuracy for improved decision-making
- Aligning campus space data with OFC to allow streamlined insights
- Supporting strategic space and resource management
- Establishing a data foundation to allow advanced reporting and analysis across research, financial metrics and space information to support essential insights
What to Expect
- Mapping: Space department names will be updated to match OFC Level 4 standards (SIO and Health will match Level 5) with changes reflected in both the Tririga and Facilities Activity Hub systems.
- Department Allocations:
- Certain departments will be merged, created or reorganized into clusters. For questions about how your current space department has been mapped, contact your senior space management staff.
- ITS Example:
- Current Tririga Org: \Organizations\University of California\University of California, San Diego\Office of the Chancellor\Vice Chancellor and Chief Financial Officer\Information Technology Services Administration\Information Technology Services
- Future Tririga Org based on OFC Fin Unit: \Organizations\University of California\UC San Diego\Chief Financial Officer\Information Technology Services\Information Technology Services
- Space Assignable Square Footage (ASF) will be aligned with the corresponding Financial Units.
- People – Employee space department associations in Tririga will be updated to align with the Organizational Fin Unit (OFC) structure, using the default payroll Level 5 Fin Unit to associate employees with a space department. These will roll up to Level 4 for reporting where applicable.
- Reporting Transitions:
- Responsible space department names will be updated to align with OFC Level 4 or Level 5 standards.
- Existing Tririga/FIM department IDs will remain the same.
- Report developers will have the flexibility to build reports based on either UCPath organization or OFC hierarchy, tailored to the specific needs and business requirements of each requester.
- Support: Facilities and Space Information Management and ITS will provide dedicated support. For assistance, email omcp@ucsd.edu.
Timeline Progress
- Nov. 20 through Dec. 4 | Quality Assurance: Review closed and completed; the team is addressing comments and feedback.
- Week of Dec. 16 | Go-Live: Deployment to production environment.
- Jan. 6–31 | Hypercare: For transition support, email omcp@ucsd.edu.
- Feb. 1 | Ongoing Support: Submit org changes, name updates and corrections to your vice chancellor space management staff.
Post-Rollout System Status
After the rollout (week of December 16, 2024):
- All allocation information will be preserved.
- All system functionality will remain active and unaffected.
- FinU-mapped and non-FinU-mapped allocations will be co-mingled, flagged and visible in Tririga/FIM for ongoing review and correction.
Ongoing Corrections
To ensure accuracy:
- For pre-rollout inclusion, submit corrections to omcp@ucsd.edu by December 12, 2024.
- No changes will be made during the rollout (week of December 16, 2024).
- Resume submissions after the rollout is completed.
Important Note on Reporting
During this transition, reports that combine financial and space information will be functional but incomplete where corrections are still needed.
Special Note for UC San Diego Health
FSIM will continue to collaborate with UC San Diego Health's space management team to complete the comprehensive space department re-alignment.
