Facilities and Financial Data Alignment Initiative

The Facilities and Financial Data Alignment Initiative establishes a unified information structure across our Space (IBM Tririga) and Financial (Oracle Financial Cloud - OFC) systems, utilizing the OFC hierarchy to organize campus space as a resource. This alignment supports daily operations and enhances long-term planning for resource allocation by:

  • Integrating space, research, employee work location and financial data for deeper analysis
  • Enhancing campus activity hub reporting accuracy for improved decision-making
  • Aligning campus space data with OFC to allow streamlined insights
  • Supporting strategic space and resource management
  • Establishing a data foundation to allow advanced reporting and analysis across research, financial metrics and space information to support essential insights

Rollout Status

The Facilities and Financial Data Alignment Initiative Go-Live rollout is complete. Most department, cluster and employee work location information in Tririga has been mapped to a selected Oracle Financial Cloud Financial Unit. This updated OFC structure is now reflected in the Facilities Activity Hub.

Although the rollout is complete, some cleanup tasks remain and are expected to be finished by the end of January 2025. All current 2,817 Financial Units are categorized into five main groups:

  • 2,212 Financial Unit (78%) of Oracle Financial Cloud Financial Units (OFC FinUs) are not space departments, meaning they don't have allocations and shouldn't be linked to square footage in facilities and space management reports. They are excluded from Tririga or Facilities Activity Hub reports related to facilities and space management.
  • 306 Space Departments (14%) are FinUs with confirmed space department allocations.
  • 180 FinU Migration in Progress (8%, mostly UC San Diego Health) are departments with space allocations, but no identified and confirmed FinU, yet.
  • 102 FinU Migration No Allocation – EFA Info Exists (5%) are departments that exist as space department placeholders with no allocations. These need to be retired or mapped to a confirmed FinU.
  • 17 FinU Migration - Control Unit (below 1%) are old space department hierarchy artifacts and will either be retired or converted into space departments and mapped to a confirmed FinU.

These department status flags are visible in Tririga, along with FinU Segment Value, FinU Segment Description, FinU Level, and can be found under Portfolio > Organization > Departments.

Timeline Progress

  • Jan. 6–31 | Hypercare: For transition support, email omcp@ucsd.edu.
  • Feb. 1 | Ongoing Support: Submit org changes, name updates and corrections to your vice chancellor space management staff.

Post-Rollout System Status

  • All allocation information will be preserved.
  • All system functionality will remain active and unaffected.
  • FinU-mapped and non-FinU-mapped allocations will be co-mingled, flagged and visible in Tririga/FIM for ongoing review and correction.

Important Note on Reporting

During this transition, reports that combine financial and space information will be functional but incomplete where corrections are still needed.

Special Note for UC San Diego Health

FSIM will continue to collaborate with UC San Diego Health's space management team to complete the comprehensive space department re-alignment.
